Terms and Conditions and Privacy Notice

This page explains what you agree to when you apply for admission, and how the information you give us is handled. Please read it before you create an account.

Part 1 - Terms of your application

By creating an account and submitting an application, you confirm the following. You will be asked to accept this again when you submit your completed application.

I certify that the information I have supplied in this application is true and accurate to the best of my knowledge. I acknowledge that the university reserves the right to deny my admission if the information is given is incorrect or incomplete, or if there are insufficient resources to offer the course/program for which I have applied. I understand that I can be dismissed if I have provided incorrect information. I recognise that Pacific Adventist University is a Christian University structured on the principles of the Seventh-day Adventist Church. I accept the obligation to live in harmony with the principles of the SDA Church as I become part of the campus life. I further agree not to engage in cult activities, using nor bringing onto campus any form of alcohol, cigarettes, betelnut, illegal substances, or pornographic materials. I accept that I will be required to leave the university should I break these regulations.

Part 2 - Privacy and records notice

About this notice

This notice describes how your records are created, stored, used, and eventually disposed of. It is a plain-language summary of the parts of the university's records management policy that concern you as an applicant, student, or graduate. It is a summary, not a replacement for that policy.

The records we hold about you

Your student record documents your relationship with the university from application through to completion or withdrawal. It includes your application and entry qualifications, your personal and contact details, your enrolment, your academic progress and assessment results, your graduation, and your financial status with the university. After you graduate, your record continues as an alumni record.

Where your records are kept, and who can see them

The Student Management System is the official system of record for your information. Access to it is restricted to authorised staff who need it for their work, and is controlled by role-based permissions. Access, updates and changes are recorded in system audit trails. Records are protected by user authentication, regular backups, and ongoing system maintenance. Where a paper document of yours is scanned into the system, the electronic version becomes the official record.

How your information is used

Your information is used to administer your application and your studies, and for academic administration, quality assurance, and institutional reporting to regulators and accrediting bodies. After graduation, alumni records may also be used to verify your qualifications to third parties who are entitled to ask, and for alumni relations, fundraising, marketing, surveys, and institutional research. Information is copied or transferred out of the system only for legitimate academic, administrative, regulatory, or reporting purposes.

Disclosure to anyone outside the university

Your personal information is not disclosed to third parties without your consent or lawful authority. Where disclosure is permitted by law or by university policy, it is handled confidentially.

How long your records are kept

Records are kept for at least the periods below, and longer where the law, an audit, or an accreditation review requires it. When a record reaches the end of its retention period it is destroyed securely - paper by shredding, electronic records by permanent deletion. Disposal is authorised and documented, and is suspended if the records are needed for litigation, an audit, an investigation, or an accreditation review.

Your rights

You may ask to see your own records, and you may ask for your personal information to be updated or corrected, through the university's approved processes. Contact the Admissions Office below to start either request. Your records are university property and cannot be altered, removed, or destroyed without proper authorisation - including by you - which is what makes them reliable as evidence of your own achievement.
